The Role  

Reporting to the Project Director, the Project Administrator will provide administrative support, responsible for communication protocols, and document control for the Owner’s Representative team.  This position ensures the smooth coordination of construction projects while providing high-level administrative support to the Director and broader project delivery team. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Duties and Responsibilities:

  • Maintain the filing and archiving of project documentation, including contracts, permits, drawings, reports, and compliance records.
  • Track timelines for key weekly and monthly deliverables to ensuring adherence to reporting protocols.
  • Facilitate communication between contractors, subcontractors, consultants, and stakeholders with the project team.
  • Prepare and distribute meeting minutes, reports, and correspondence related to the project.
  • Perform general administrative duties, including filing, data entry, and office coordination.
  • Monitor budgets, track expenses, and process invoices.
  • Assist with procurement, including preparing purchase orders and liaising with suppliers.
  • Preparation of presentation materials (including PowerPoint, drawings, diagrams, handouts, narratives, or short reports) for meetings with internal and external stakeholder groups.
  • Manage the Director’s calendar, schedule meetings, and coordinate appointments.
  • Handle confidential correspondence, emails, and phone calls on behalf of the Director.
  • Assist with preparation of presentations, reports, and other documents as required.
  • Organize travel arrangements, including flights, accommodation, and itineraries.
  • Assist in organizing company events, conferences, and team meetings.
  • Other duties and responsibilities commensurate with the position may be assigned.

Primary Qualifications:

With at least 5 years of directly relevant experience, the ideal candidate will demonstrate sound business judgment, a high degree of integrity and objectivity. The candidate will be skilled in the Microsoft Office suite and demonstrate a strong ability to learn new software tools.  Candidates must be fluent in both Greek and English at both verbal and writing skills

  • Outstanding written communications skills including the ability to draft emails, letters, reports, and presentations with proper grammar and structure, edit and proofread documents to ensure they are clear, professional, and error-free and summarize and take effective notes by extracting key points from meetings, calls, and documents.
  • Ability to work cross-functionally with impacted stakeholders
  • Strong capabilities in reporting and analysis are matched by strong communication skills
  • Demonstrated experience in project management and implementation, program management, change management, and business systems experience
  • Excellent verbal and written communication skills required; must be comfortable connecting and communicating with individuals at all levels of an organization
  • Demonstrated team leadership skills with the ability to motivate and develop team members for exceptional performance and contribution
  • Ability to navigate ambiguous situations, bring options and provide recommendation
  • Solutions driven and self-starter, who understands the importance accuracy and timeliness make a difference and contribute to the success of the business.

 Primary Work Location: Pafos and Larnaka Airports
